Creating an Impromptu Event on the website


To meet the Queensland Government conditions it is important that Impromptu Events are registered properly on the HMCCQ website, and that your SIVS registered vehicle is being used appropriately. In particular:

  • An Impromptu Event must be created in the Events Calendar of the website within the Events section.  Following the instructions below ensures we meet the QLD Government requirement to ‘maintain a register of Impromptu Events’, as a list of all past and upcoming ‘Events’ is maintained in the events calendar.
  • In line with the SIVS guide, wider Club members are invited to attend your Event. Other Club members who intend participating in an Impromptu Event are requested to contact the organiser to confirm attendance and obtain any further information that may be required.
  • The purpose of an Impromptu Event must fall within the general SIVS Conditions and Restrictions (as referenced above) and HMCCQ’s published club guidelines (Club Rules), which state the Objects of the Club as including (3.1.2) ‘Organise, participate in and encourage the organisation of rallies, exhibitions and any other events suitable for the enjoyment of and the promotion of historic motorcycles.’

It is wholly the responsibility of individual club members to ensure that they use this Impromptu Rides facility appropriately and meet the Queensland Government criteria for running Impromptu Events.



Creating an impromptu ride using the Events page of the website.

 

(Note that you may find this easier to do on a computer than a mobile phone, but it can still be created on one)

 

Whatever device you are using, first login, then go to the "Events" page.

On a mobile phone you must then click on the desktop icon (looks like a TV screen) to access the right version of the Events calendar.

 

For both, now click on the button "Add Quick Event" on the top right hand of the screen

 

You must now fill in the "Basic Info" section of the page:

 

1. Give your ride a name

2. In the "Short description" box enter the details that will show on the listing . Remember that impromptu rides must be open to all club members, so clarity is important.
If you are creating a ride from A to B, locations must be specific. Ie "Albany Creek" is no good, but "Albany Creek BP servo on the Old Northern road" is.
If your ride is from any start point to a fixed destination then make it definitive as well.
Do not enter dates or times here

3. Set the "Category" to "Impromptu Events"

4.   Set the "Event is for" to the only Area option you will see. Note that this does not mean that the ride is limited to members of that area (rides are open to all), it just indicates the geographical location of the ride. We can't change the text of "Event is for" unfortunately

5. Set the "Visibility" to "Visible to everyone"

6. Set whether you want your email, landline or mobile number to be displayed in the listing

7. Leave the "Notify on Registration" box unticked

8. Enter the times and dates in the appropriate boxes

9. Click "Save" at the bottom of the page
